Use the Templates feature when you want to scan or fax jobs using the Workflow Scanning service
on your device. Templates contain information to tell the device where to file a scanned document.
They also contain settings, such as image quality and file format. Templates help you scan images
more quickly because the template contains all the pre-programmed settings for your scan. If
necessary, you can change the settings at the device.
All the templates available are displayed on the device in the Workflow Scanning template list.
To create a template you will need to know some technical information about your network. If you
are not technically-minded, you will find it easier to copy an existing template and then modify it
rather than create a new one. If possible, ask your System Administrator to create a new template
for you.
Note: Your System Administrator must configure a scan destination (known as a file repository)
before you can create a template or add a destination to a template.
Refer to the System Administrator Guide for further information.
1. At your computer, open your web browser.
2. In the URL field, use your keyboard to enter http:// followed by the IP Address of the device. For
example: If the IP Address is 192.168.100.100, enter http://192.168.100.100.
Note: To find out the IP Address of your device, print a configuration report or ask your System
Administrator.
3. Press the Enter button on your keyboard to load the page.
4. Click the Scan tab.
5. If required, select Templates from the Display menu in the top left hand corner. If your System
Administrator has not set up any Mailboxes you will not see the Display menu and will be sent
directly to the Templates page.
6. Select the Create New Template link from the Template Operations menu.
7. Click in the Template Name entry box and use your keyboard to enter a name for your
template.
8. Click in the Template Description entry box and use your keyboard to enter a description.
9. Click the Owner entry box and use your keyboard to enter an owner name for the template.
10. Enter a scan destination.
Either
• Select the Enter a Scan Destination radio button.
•Click in the Friendly Name entry box and use your keyboard to enter a name for your
template. The Friendly Name displays in the template description area of the Workflow
Scanning screen on the device control panel. If you don’t specify a display order, templates
display alphabetically by Friendly Name.
Or
• Select the Select from a predefined list radio button.
• Select the destination required from the File Destination menu.
11. Select the Protocol you want to use to scan your documents. The protocol depends on the
location of your file repository. Refer to the System Administrator Guide for further information
about setting up a file repository.
• FTP scans to a computer using File Transfer Protocol. Select this option if you have an FTP
application on your computer.
• SFTP scans to a computer using Secure File Transfer Protocol. Select this option if you have
an SFTP application running on your computer.
